7 Must-have Apps for Virtual Assistants

Although considered a gateway job, it remains wise to come prepared when applying to be a virtual assistant. And the best way to do so is by getting all the necessary virtual assistant apps you need.

But with so many apps available on the market today, how do you know which ones to get? If only you had a list of which apps to get to expand your virtual assistant tool kit, that would be a great help, right?

Well, you’re in luck! This article lists down seven virtual assistant apps you should have when starting your VA career.

All of the apps that will be mentioned below are free. However, some may also have premium versions you have to pay for, but these offer more services and perks in turn.

Google Workspace

Google Workspace.

One of the most popular collections of apps used by virtual assistants is Google Workspace. Also known as G-suite, this contains almost all the apps you will need for your work. These are Google Docs/Slides/Sheets, Gmail, Google Drive, Google Meets, and Google Calendar.

Google Drive, in particular, is greatly valuable for VA’s. It provides a safe place to store all your data and allows your boss and co-workers to view and edit them anytime. And the best part? This and all the other workspace apps are free, so you don’t have to worry about monthly fees.

Besides having a web version, all Google Workspace apps also have a mobile version. This option lets you work anywhere you go, even if you’re away from your computer.

Slack

Slack.

Communication is key to success in a remote setup, especially if you’re a virtual assistant. You need to remain updated with your client’s needs and when it comes to communication apps, Slack is a great fit for many VA’s.

This free channel-based communication app allows real-time communication between you and your client through online chat or video calls. In addition, Slack lets you create separate channels for different projects and keeps them private. You can also share various files, such as audio/video recordings and images, with your client or co-workers here.

Zoom

Another popular virtual assistant communication app that you should have is Zoom. This free app enables you to hold or attend large meetings of up to one hundred people for forty minutes. It is perfect for face-to-face meetings or events involving many people, such as client presentations or company parties.

Other Zoom features include an interactive whiteboard for displaying ideas during discussions, and a live chat. It can also record meetings for future reference, and enable you to share your screen if you want to share something from your end with clients or co-workers.

Grammarly

Grammarly.

Good grammar is everything to virtual assistants. This skill helps you avoid miscommunication with your client and ensures that your reports are as clear and concise as possible. One app that can help you do this is Grammarly.

The free version of this app checks your work or email for grammatical errors and offers corrections and other writing advice. It can also be set to adjust your English to either American, Australian, or British English to make it more apt for your audience.

Canva

Canva.

You may not be a multimedia specialist, but there will be times when you may be required by your client to do graphic design work. One app that can help you produce quality social media posters and ads during these situations is Canva.

Canva is a free graphic design app used to make quality posters, images, and even videos and GIFs. If you don’t have much experience with graphic design, don’t worry. The app has a very user-friendly interface and has several preset templates you can use for those unfamiliar with graphic design.

Calendly

Calendly.

An essential responsibility of a Virtual Assistant is to set appointments and manage your client’s schedule for them. Depending on how busy your client is, you may need to schedule several meetings in a single day. To help you manage your client’s schedule, you can use Calendly.

Calendly is a scheduling tool that integrates with other calendar apps, such as Google Calendar, so they can streamline your meetings. Your account comes with a personalized link you can share with your client or co-workers to better coordinate meetings.

MailChimp

MailChimp.

Another field your client may require your assistance with is communicating with your company’s target audience. An app that can help you accomplish this task is MailChimp. Mailchimp enables you to produce optimized email content for your target audience, which helps bring in more traffic to your company’s website.

This app allows you to analyze your company’s ad campaigns to see whether they are working or not. They will then give you personalized recommendations on improving your ads to produce better results. It also helps you make bulk emails, segment your newsletters so they can better target your audience, and more.
